This notice applies to the Kencana Health & Education Network (KHEN) website at kencanahealth.org. It covers browsing and website features. Clinical care, student records, employment, donations and research participation are subject to separate privacy information and arrangements.
Browsing the website
Your browser shares technical information needed to display pages and resources, including your IP address, browser information and the address requested. Hosting and security services may process access and error logs to support website operation and security.
Contact and appointment enquiries
When you submit an enquiry, your name, email address, phone number, reason for contact, subject, message and consent are sent to KHEN at info@kencanahealth.org through our hosting and email services. This information is used to review and respond to your enquiry. An automatic acknowledgement is also sent to the email address you provide, without repeating the contents of your message. The on-screen confirmation and email acknowledgement do not confirm an appointment or establish a clinical relationship. You can also contact us directly by email.
Information you should not enter
Do not enter medical records, identification documents, passwords, payment details or other sensitive personal information into the general contact form or Ask Kencana. These tools are not secure clinical intake or emergency services. If you choose another communication channel, check its privacy information before sharing personal details.
Ask Kencana, search and filters
Ask Kencana provides automated navigation assistance using predefined responses. Questions entered into this tool are processed in your browser and are not sent to KHEN or an external AI service. Site search and directory filters also work in your browser. These features do not provide medical consultations, access to patient accounts or appointment bookings.
Cookies and third-party resources
The contact form uses an essential session cookie to protect submissions and recognize retries. Short-lived records containing hashed network and email identifiers and request counts are used to limit misuse; the website does not create a separate database of enquiry messages. Enquiries and replies are handled through KHEN’s email services. Navigation, search and Ask Kencana work in your browser and do not include analytics or advertising tracking. Hosting and security services may operate independently of these features. Some photographs are served by images.unsplash.com and Nappy’s image services at src.nappy.co and images.nappy.co. Your browser connects to these providers to display images, sharing technical request information that they handle under their own privacy practices.
